THE ROLE

Vibee is seeking a highly experienced and detail-oriented Financial Analyst to oversee concert and event financial settlements, working closely with production teams and cross-functionally across various financial areas. This individual will have significant experience in closing out event financials, ensuring accuracy in settlement reports, and supporting the finance team on day-to-day operations. This is a remote position working in Pacific Timezone.

                 

RESPONSIBILITIES

Event Settlements & Reconciliation

  • Lead the comprehensive financial settlement process for concerts, festivals, and events, collaborating directly with production and operations teams to ensure real-time accuracy and alignment of financial data.

  • Oversee the finalization of event settlements, reconciling all revenue streams (ticketing, merchandise, sponsorship, etc.) and cost categories (production, staffing, travel, etc.) to ensure accurate reporting.

  • Develop and maintain detailed settlement templates and guidelines, working closely with the production team to streamline settlement procedures and ensure adherence to financial policies.

  • Provide on-site financial coordination support for large-scale or multi-day events, ensuring that settlements are processed in real-time and resolving any discrepancies on the ground.

  • Prepare and present post-event financial analyses, offering insights into event profitability and identifying opportunities for improving financial efficiency in future events.

Cross-Functional Finance Operations

  • Own and monitor accounts payable (AP) processes, ensuring timely vendor onboarding, approval of vendor quotes, and invoice processing in alignment with event budgets. Collaborate with production, legal, and procurement teams to ensure all contractual obligations are met and properly accounted for.

  • Lead accounts receivable (AR) processes, managing revenue streams related to sponsorships, ticket sales, and other income sources. Ensure proper collection processes are in place and followed to maintain positive cash flow.

  • Lead cash flow forecasting and management efforts, partnering with the Director of Operational Finance to assess liquidity needs and prepare aging reports that accurately reflect the status of outstanding payments.

  • Partner with departments across Vibee (including marketing, talent partnerships, and production) to ensure all financial data is captured accurately and on time, enabling smooth and transparent cross-departmental collaboration.

  • Review and ensure proper coding and financial tracking of reimbursements, expense reports, and event-related purchases to ensure they are aligned with internal policies and show-specific budgets.

Budgeting, Reporting & Analysis

  • Assist the Director of Operational Finance in creating detailed event budgets, working closely with production and talent teams to forecast costs and identify key financial drivers for each event. Regularly update budgets to reflect real-time changes and variances during the event planning process.

  • Develop comprehensive financial reports and forecasts/projections for each event, utilizing both historical data and forecast models to provide clear visibility on expected revenues, expenses, and profit margins. Present detailed analyses to leadership post-event, highlighting key financial successes, challenges, and recommendations for future improvements.

  • Conduct variance analysis between budgeted and actual results, identifying discrepancies, investigating root causes, and proposing actionable recommendations to improve future financial planning and execution.

  • Support the month-end, quarter-end, and year-end close processes by ensuring all event-related financials are accurate and complete, providing supporting documentation and explanations for variances where needed.

Internal Controls & Process Improvement

  • Partner with the Director of Operational Finance to review, refine, and implement internal financial policies, ensuring compliance with Vibee’s financial control framework as well as industry best practices.

  • Continuously evaluate and enhance financial processes related to event settlements, accounts payable/receivable, and general financial reporting, introducing automation and efficiency improvements where appropriate.

  • Develop and enforce procedures for maintaining financial documentation, including contracts, invoices, and settlement records, ensuring proper filing and archiving for audit purposes.

  • Lead cross-functional initiatives aimed at improving financial transparency and accountability across departments, offering training and support to non-financial teams on financial processes, policies, and tools.

  • Partner with the IT and finance teams to identify and implement technology solutions that enhance data accuracy and reporting efficiency, such as event-specific financial software or automation tools.

Team Collaboration & Leadership

  • Act as the primary finance liaison with production, marketing, talent partnerships, and other operational departments, ensuring financial information flows seamlessly and decisions are made with accurate, real-time data.

  • Provide mentorship and guidance to junior finance team members, sharing expertise in settlement processes, financial reporting, and budgeting to help them develop their skills and grow within the organization.

  • Partner closely with external partners and stakeholders, including vendors, contractors, and service providers, to ensure financial terms are clear and that settlements, payments, and other financial obligations are met in a timely manner.

  • Assist in onboarding new finance and production team members, providing training and support on event financial management and Vibee’s unique settlement processes.

  • Take the lead on ad-hoc financial projects as assigned by the Director of Operational Finance, contributing to Vibee’s overall financial strategy and supporting special events, partnerships, and new business opportunities.

  • Other related duties and responsibilities as assigned.

QUALIFICATIONS

  • 5-7 years of experience in financial management, event accounting, or a similar role, preferably within the live entertainment industry.

  • Proven experience in concert and event settlement processes.

  • Thorough understanding of financial and accounting standards, including GAAP.

  • Strong technical skills in Microsoft Excel, Google Sheets, and financial software platforms. Experience with event management software is a plus.

  • Excellent analytical, financial modeling, and critical thinking skills, with a strong ability to interpret data and make sound business decisions.

  • High attention to detail and ability to work in a fast-paced, deadline-driven environment.

  • Excellent verbal and written communication skills, with the ability to collaborate across multiple departments.

  • Ability to manage multiple priorities and projects simultaneously.

  • Flexibility to work during evening or weekend hours as needed during event periods.

  • Ability to travel domestically or internationally, as required by the role.

WORK ENVIRONMENT

  • Must be able to tolerate loud noise levels & busy environments on site at our events

  • May sit for extended periods of time and work in drastic temperature climates onsite at our events

  • Must be willing to work during evening and weekend hours, as required, to meet deadlines

  • Must be willing to travel as required both domestically and abroad, if required

  • Must have a current passport and be able to travel worldwide without restriction
