Job Overview

As a Talent Acquisition Operations Associate, supports the recruitment team by ensuring that the hiring process runs smoothly and efficiently. This role involves a mix of administrative, operational, and strategic tasks to enhance the recruitment experience for both candidates and internal stakeholders.

You will be responsible for assisting recruiters with all phases of the recruiting life cycle and play an instrumental part in the candidate experience. This includes scheduling and confirming interviews, managing the onboarding process up to the candidates’ first day, and liaising with other HR functions (Benefits, HR Operations, HRIS, Talent & Development, etc.). This role reports to the Sr. Manager, Talent Acquisition and Operations but works under the direction of TA managers and team members. This hybrid role will be based in Chicago and will require two in-office days at our downtown Chicago office.

Job Description and Requirements

Talent Acquisition Operations Support 

  • Support multiple recruiters in a high-volume global environment with  

  • Leverage intelligent automation interview platform Goodtime to coordinate candidate interviews 

  • Coordinate candidate travel or in-person candidate visits with department administrative lead as needed 

  • Support event coordination for on-site and off-site meetings and/or trainings  

  • Document and aid with the maintenance of SharePoint/Confluence sites, reporting, distribution lists, process maps/diagrams etc. 

  • Assist and/or lead project-oriented recruiting programs (i.e. Intern hiring, strategic initiatives) 

System Administration 

  • Ensure data accuracy within the HR and Application Tracking systems  

  • Respond and resolve operational requests in Jira and Slack 

  • Support team enablement through managing TA tech stack by maintaining templates in  (Workday Recruiting, Goodtime), troubleshooting, and pursuing operational efficiencies 

  • Provide and maintain up-to-date business procedures including communicating changes and/or championing new processes  

New Hire Onboarding 

  • Support the onboarding process by assisting with pre-employment documentation and background checks. 

  • Ensure smooth handover to HR and Talent teams for new hire orientation and follow-up activities. 

  • Provide an outstanding experience for every individual candidate by helping to create a unique first impression for employees and new hires 

Process Improvement & Compliance 

  • Contribute to projects and offer subject-matter expertise as needed 

  • Innovate, educate and reinforce talent acquisition operational processes 

  • Comply with global audit and client requests related to GDPR, background checks and hiring procedures 

Vendor & Stakeholder Coordination 

  • Liaise with external recruitment vendors, job boards, and internal departments as necessary. 

  • Manage and maintain relationships with talent acquisition team and internal customers to ensure quality service. 

  • Engage with agency vendors to match resources for contingent workforce needs  

Minimum Qualifications

  • Bachelor's degree in Human Resources, Business Administration or related field, or equivalent work experience 

  • 1-2 years of experience in HR or talent acquisition coordination, or similar administrative role(s) with Proficiency with applicant tracking systems (ATS) and HR software (e.g., preferably Workday) and strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Demonstrated organizational skills with the ability to manage multiple tasks and prioritize effectively and strong communication and interpersonal skills for liaising with candidates, recruiters, and stakeholders. 

  • Attention to detail and a proactive approach to problem-solving in a fast-paced, deadline-driven environment with flexibility and the ability to adapt quickly to shifting company or team goals/priorities.

  • Prior exposure in candidate recruitment (i.e., reviewing, processing, vetting candidate resumes) highly desirable

This position is eligible for total compensation which includes a competitive base salary, an annual performance bonus, and long-term incentives.

The expected salary range for this role is between following values:

$46,000 and $69,000

The final offered salary will be based on several factors, including but not limited to the candidate's depth of experience, skill set, qualifications, and internal pay equity. Hiring at the top end of the range would not be typical, to allow for future meaningful salary growth in this position.
