Reporting to the Payroll Manager, The Payroll Specialist is responsible for accurately processing and maintaining payroll information, ensuring compliance with policies and regulations. This role involves entering and updating employee data, assisting with payroll deductions and benefits, and collaborating with HR and auditors. The Payroll Specialist also handles inquiries related to paid time off (PTO) and assists with managing acquisition, reconciliation, and auditing of payrolls. The Payroll Specialist will contribute to the smooth operation of the payroll process and demonstrate a high level of accuracy and confidentiality in handling payroll-related tasks.

 

 

Schedule: Monday through Friday with firm hours of 8am-5pm. Additional hours may be needed dependent on deadlines.

 

Compensation: 

  • $55k/yr-$62k/yr, depending on experience

Responsibilities






  • Enter, maintain, information in the payroll system, may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays.
  • Assist and resolve employee’s with inquires and/or discrepancies.
  • Collaborate with HR and Finance team to ensure accurate and timely payroll processing.
  • Assist Payroll manager with the creation of ad-hoc financial reporting and analysis as needed.
  • Ensure proper processing of payroll deductions, taxes, and benefits.
  • Review and checks all payroll previews before processing.
  • Assists with audits by providing records and documentation to auditors.
  • Process payroll on a bi-weekly schedule with immediate off-cycles as needed by management.
  • Ability to work, analyze, and manage payroll tasks independently.
  • Maintain electronic employee files and payroll I-Reports.
  • Create, and analyze payroll data using Excel
  • Maintain garnishment submission in a timely manner.
  • Assist with resolving and maintaining federal/state/local taxes.
  • Ability to communicate with Managers regarding payroll inquires in a professional and timely fashion.
  • Other duties assigned as deemed necessary by management. 
  • Experience with Provider payroll is a plus.








Qualifications






  • At least two years of experience required in multi-state payroll processing for 500 employees or more. 
  • Must reside in EST. 
  • Proficiency in ADP Workforce Now preferred.
  • Proficiency with HRIS platforms required. 
  • Familiarity with tax reconciliations and staying up-to-date with tax laws required.
  • Preferred experience setting up state taxes. 
  • Proficiency with Microsoft Office required – Excel, with knowledge of V-look ups and Pivot tables.
  • Ability to work and manage payroll tasks independently.
  • Ability to work well under strict deadlines.








Licensure/Certifications/Education






Education and Experience: 

  • Two or more years of multi-state payroll processing experience required. Associate’s degree preferred.
  • Previous payroll experience should include processing multi-state payroll for 500 employees or more.

Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds at times.
