Scope:
The Avesis Payroll Department is responsible for the timely and accurate preparation of payroll for all Avesis employees across the United States. Additional responsibilities include the preparation and entry of payroll journal entries into Workday, monthly reconciliation of General Ledger payroll accounts, and meticulous documentation of processes and pay adjustments.
Job Summary:
As a Payroll Specialist you will be responsible for providing confidential administrative support services in a variety of functional areas within the Payroll Department. The ideal candidate should possess strong communication skills and the ability to interact professionally with both colleagues and executives. Given the sensitive nature of payroll activities, a meticulous attention to detail is required to be successful in this role. Additionally, this individual will respond to inquiries from associates regarding pay calculations and any associated issues.
Functional Competencies:
Each payroll ensure that all employees are paid on time and that their paychecks are accurate.
Upload data file created by Workday into ADP each payroll (such as hours worked, paid and unpaid time off, one-time payments, etc.)
Prepare Leave pay calculations weekly based on data provided by Notification of Approval from insurance company, in compliance with policy set in employee handbook.
Enter data, calculate and review wages prior to submitting payroll for processing, reconcile errors, and document exceptions to standard processes.
Create and upload flex spending file including HSA seed money to third party provider each pay period.
Timely upload Wage Assignments, Garnishments, Support orders etc. as needed to ADP Smart Compliance.
Review all data for new hires to ensure accuracy before processing first paycheck.
Review all data for terminated employees to ensure accuracy before processing final paycheck.
Timely address issues and questions regarding payroll from employee and supervisors.
Prepare payroll journal entries and upload into Workday accounting system after each bi-weekly payroll and all off cycle payrolls.
Monthly reconciliation Balance Sheet Payroll Accounts, identifying and resolving reconciling items timely.
Review data posted to accounting system for accuracy and prepare adjusting entries as needed.
Prepare periodic reports of earnings, taxes, and deductions as required by notices or requests from the Finance team.
Maintaining strong financial processes, procedures, and internal controls for assigned responsibilities.
Audit employee benefits and vendor bills for accuracy and work with HR to resolve any discrepancies as needed.

Minimum Qualifications:
High School or equivalent required. Associate’s degree in Accounting, Business Administration, Human Resources, or related field required.
Two years of full-time experience processing payroll.
Solid understanding of accounting fundamentals and payroll best practices.
Proficient in MS Office including strong Excel skills: V-Lookups, filters, etc. and good knowledge of relevant software (e.g. ADP WFN, Workday) and databases.
Must have experience in processing payroll for organization with 200 plus employees.
As this role is a remote role, you are required to maintain internet service that allows you to complete your essential job duties without issue. Rates of 50 Mbps download and 10 Mbps upload while hardwired and not on a VPN are sufficient.
Preferred Qualifications:
1-2 years of Workday experience preferred.
Experience in multi-state payroll taxes.
FLSA Status: Hourly/ Non-Exempt
National Hourly Rate Range: $24.41 - $38.16/hour
