POSITION OVERVIEW






Job Title: Executive Virtual Assistant

Job Type: Full Time, Permanent

Shift: Friday - Tuesday

Hours: Nights and Weekends | Friday -Tuesday 2 pm - 10 pm EST |

Saturday/Sunday 10 - 7 pm EST 

 

We are seeking a highly organized, well-established, and detail-oriented Executive Virtual Assistant to join our team. As an Executive Virtual Assistant, you will perform various high-level administrative tasks and support our company’s senior-level managers. Senior Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports.

The ideal candidate should be well-organized, have excellent time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

POSITION RESPONSIBILITIES






Key Responsibilities:

  • Administrative Tasks: Managing executive emails, scheduling meetings, providing timely reminders, and handling travel arrangements to ensure seamless daily operations.
  • Calendar Management: Creating and maintaining detailed schedules of events, appointments, and tasks, ensuring optimal time management and prioritization.
  • Research: Conducting thorough online research to support various projects and decision-making processes, providing accurate and relevant information.
  • Writing: Writing and maintaining accurate records, compiling and distributing comprehensive reports, and handling other documentation tasks as needed.
  • Scheduling Events and Travel Arrangements: Planning and coordinating events, as well as managing travel logistics, including booking flights, accommodations, and transportation.

  • Diploma in Office Administration or a Secretarial Diploma 
  • Proven experience as an Executive Assistant, Virtual Assistant, or similar roles
  • Experience in the telecommunications industry, including understanding FCC regulations, data privacy laws, and cybersecurity issues
  • Proficiency in legal research databases and document management systems
  • Preferred but not required: experience with telecommunications-specific software or compliance tools.
  • Strong analytical skills, attention to detail, effective communication abilities, and the capacity to work under tight deadlines
  • Must have experience in booking travel and making travel arrangements internationally.
  • Strong organizational and time management abilities
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software
  • Ability to work independently and handle confidential information with discretion
  • Strong research skills and attention to detail
  • Flexibility to adapt to changing priorities and schedules
  • Have a wired, high-speed internet connection (Download speed of 20 Mbps+)

  • Must be willing to submit up to a LEVEL II background and/or security investigation with a fingerprint.  Job offers are contingent on background/security investigation results.

PHYSICAL REQUIREMENTS






This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
