EXECUTIVE ASSISTANT (Remote)


We are looking for a highly skilled and experienced Virtual Executive Assistant to the CEO to provide comprehensive administrative and executive support in a remote capacity. The ideal candidate will have at least 5 years of experience working closely with C-level executives and be proficient in Office 365 applications. You will be responsible for ensuring the CEO’s day-to-day operations run smoothly by managing schedules, communications, and other critical tasks. 

KEY RESPONSIBILITIES: 

  •  Provide high-level administrative support directly to the CEO. 
  • Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements. 
  • Handle email and communication management, including responding on behalf of the CEO when necessary. 
  • Prepare, edit, and format documents, presentations, and reports using Office 365 (Word, Excel, PowerPoint, Outlook, Teams). 
  • Organize and maintain digital files, records, and important documents on OneDrive and SharePoint. 
  • Assist in project management, tracking progress, and ensuring tasks and deadlines are met. 
  • Serve as a liaison between the CEO and internal/external stakeholders, handling client communications professionally. 
  • Conduct research, compile data, and present findings to assist the CEO in decision-making. 
  • Coordinate and attend virtual meetings, taking notes and following up on action items. 
  • Perform other duties as assigned to support the CEO's business and personal needs. 

QUALIFICATIONS: 

  • 5+ years of experience as a Virtual Assistant or Executive Assistant to C-level executives. 
  • Advanced proficiency in Office 365 applications (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint). 
  • Exceptional organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment. 
  • Strong communication skills (both written and verbal) with attention to detail. 
  • Ability to work independently and maintain confidentiality at all times. 
  • Tech-savvy with the ability to quickly learn and adapt to new tools and software. 
  • Proven ability to manage complex calendars and travel logistics. 
  • Strong problem-solving skills and initiative. 
  • Able to work in the US time zone. 

Preferred Qualifications 

  • Experience with project management tools (e.g., MS Planner, Trello). 
  • Familiarity with online communication platforms (e.g., Zoom, Slack). 
  • Previous experience working in a startup or fast-paced environment is a plus. 
  • Experience managing both business and personal tasks for executives.
