EXECUTIVE ASSISTANT (Remote)
We are looking for a highly skilled and experienced Virtual Executive Assistant to the CEO to provide comprehensive administrative and executive support in a remote capacity. The ideal candidate will have at least 5 years of experience working closely with C-level executives and be proficient in Office 365 applications. You will be responsible for ensuring the CEO’s day-to-day operations run smoothly by managing schedules, communications, and other critical tasks.
KEY RESPONSIBILITIES:
- Provide high-level administrative support directly to the CEO.
- Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
- Handle email and communication management, including responding on behalf of the CEO when necessary.
- Prepare, edit, and format documents, presentations, and reports using Office 365 (Word, Excel, PowerPoint, Outlook, Teams).
- Organize and maintain digital files, records, and important documents on OneDrive and SharePoint.
- Assist in project management, tracking progress, and ensuring tasks and deadlines are met.
- Serve as a liaison between the CEO and internal/external stakeholders, handling client communications professionally.
- Conduct research, compile data, and present findings to assist the CEO in decision-making.
- Coordinate and attend virtual meetings, taking notes and following up on action items.
- Perform other duties as assigned to support the CEO's business and personal needs.
QUALIFICATIONS:
- 5+ years of experience as a Virtual Assistant or Executive Assistant to C-level executives.
- Advanced proficiency in Office 365 applications (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint).
- Exceptional organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment.
- Strong communication skills (both written and verbal) with attention to detail.
- Ability to work independently and maintain confidentiality at all times.
- Tech-savvy with the ability to quickly learn and adapt to new tools and software.
- Proven ability to manage complex calendars and travel logistics.
- Strong problem-solving skills and initiative.
- Able to work in the US time zone.
Preferred Qualifications
- Experience with project management tools (e.g., MS Planner, Trello).
- Familiarity with online communication platforms (e.g., Zoom, Slack).
- Previous experience working in a startup or fast-paced environment is a plus.
- Experience managing both business and personal tasks for executives.
