WHAT WE ARE LOOKING FOR 
A dynamic and highly organized Executive Assistant to provide high-quality administrative support to Opus Agency’s Executive Team.  This role requires an individual who can operate as a direct extension of the executives, upholding the same level of professionalism, integrity, and drive.  Scope and level of support will vary by Executive. The ideal candidate will thrive in a fast-paced environment, possess strong organizational skills, and be adept at handling multiple shifting priorities. Flexibility, discretion, and a proactive approach to problem-solving are essential as the scope of responsibilities will vary by executive.
 
YOU SHOULD HAVE 
  • 5+ years’ senior administrative experience, with at least 2-3 years supporting executives at the C-Level 
  • Sensitivity and discretion to confidential matters
  • Strong sense of urgency and flexibility
  • Experience with multi-city travel arrangements and external expense report systems (Concur preferred)
  • Proven organizational skills, with the ability to track and manage multiple, shifting priorities
  • Consistency in performance and delivery of high-quality work  
  • Confidence working independently  
  • Excellent communication (written and verbal)
  • Advanced proficiency with: Microsoft Suite (Outlook, Word, Excel, PowerPoint), Gsuite (Docs, Sheets, Slides) 
  • Strong aptitude in Excel or Sheets to assist with reports and data analytics 
  • Bachelor’s degree preferred, or equivalent combination of education, training, and experience
  • Basic familiarity with finance is a plus
 
ESSENTIAL RESPONSIBILITIES 
  • Heavy scheduling and calendar management through Outlook and GCalendar
  • Arrange domestic / international travel with savviness around executive travel
  • Arrange point-to-point and pop-up transfers during executive travel
  • Coordinate meetings and manage logistics
  • Act as point of contact for internal / external communications regarding the above
  • Prepare briefing documents, reports, and presentations
  • Perform general administrative duties and miscellaneous projects
  • Record meeting minutes, capture Action Items and help drive to delivery

HOW WE’LL TAKE CARE OF YOU 
 
Our job titles may span more than one career level. The starting salary for this role is between $62,000 and $84,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as: training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.

Physical Requirements: 
Individuals will be required to sit for the majority of the day and will be required to stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques required.  Individuals will be required to travel via airplane, train, taxi, car and/or other means of transportation as needed.
